Minutes of a MEETING of the FINANCE COMMITTEE held in the Council Office, Annexe to No 1 Bungalow, Bushwood Close, Welham Green on Wednesday, 25 March 2009.

1.       APOLOGIES FOR ABSENCE

There were no apologies for absence.

 

2.       MINUTES OF THE LAST MEETING

 

The Minutes of a Meeting of the Finance Committee held on Wednesday, 25 February 2009 were agreed as being a true record of the proceedings and signed by the Chairman.

 3.      ACCOUNTS FOR PAYMENT

 

A Schedule of Accounts for Payment totalling £12,241.65 inclusive of Imprest Expenditure of £470.19 was presented.   After careful consideration of each item it was agreed that the total amount be recommended to Council for approval and payment in full.                           

 

4.       STATEMENT OF BALANCES

 

Consideration was given to a Statement of Balances held with the National Westminster Bank plc as at 23 March 2009 and it was noted that income totalling £877.02 had been received.

 

5.       TRANSFER OF MONEY

 

Approval was given to the Clerks action in transferring £13,000 from the Council’s SIBA account to current account on 20 March 2009.

                                                                                         

6.       ANY OTHER BUSINESS

 

          a)  Internal Audit

 

It was noted that an Interim Internal Audit had been carried out that day and the Internal Auditors report would be circulated to all Councillors.

 

The Clerk advised that the Council would need to review the effectiveness of its system of internal audit at its next meeting.

 

b)  Grants & Donations

 

The Clerk advised that the Council had received acknowledgements and thanks from all but one of the recipients of the Council’s donations.

 

c)  Gas Boiler, Burns Pavilion

 

A third quotation was awaited for the replacement of the gas boiler in the Burns Pavilion and due to the fact that the Bowls season was scheduled to begin on 18 April, it was agreed to recommend to Council that the Clerk should be given permission to accept a quotation for less than £5.600 plus VAT for this work which was now fairly urgent.

 

d) Charges for the Council’s Facilities

 

Following a discussion it was agreed to recommend to Council that the Council’s charges for the hire of its facilities should remain the same except for the following which would increase from 1 April 2009:

 

Bowling Green                                       £3,630.00 to £3,993.00

Football Individual Match Game              £50.00 plus VAT

Allotment Rents (per 25 sq m)                £2.00 to £2.10

         

 

7.       DATE OF NEXT MEETING

 

A meeting has already been arranged for Wednesday, 29 April 2009 commencing at 7.15 pm. in the Council Office, Annexe to No 1 Bungalow, Bushwood Close, Welham Green.

 

 

The meeting closed at 7.40 pm.
